A reliable source-photo checklist

• Start with the original camera file rather than a screenshot or an image forwarded through a messaging app.
• Keep both eyes, the full face, chin, and hairline visible; move blankets, straps, toys, and pacifiers outside the crop.
• Use soft front light and avoid a bright window behind the baby, which can leave the face dark or blurred.
• Leave space around the head and shoulders so the same source can be cropped to more than one document ratio.

Choose the output for the actual task

Digital forms commonly ask for one JPG file, while a school, daycare, or local office may request a physical print. Use the HD result for a single digital portrait and the 4 x 6 sheet only when you need to print several copies. Keep the transparent PNG as an editable source, not as the default official submission.

Before uploading, check the requested dimensions, file type, maximum file size, background color, head position, and whether digital background replacement is permitted. If the instructions require an unedited capture, keep the original background or take a new photograph.

Read the request before choosing a passport preset

A profile picture, a printed record card and a government document photo are different tasks. If a daycare asks for a recent portrait without dimensions, ask whether it needs a digital file or a print and whether the profile uses a square or portrait crop. A familiar preset is useful only when it matches that request.

For a profile displayed in a circle, leave some space around the head and check the preview after uploading. The receiving app may cut off the corners even when the file itself is square. For a physical card, use the dimensions supplied by the school rather than the dimensions of the preview on your screen.

Choose one of the three downloads

• Individual portrait: use the HD PNG for a digital form that accepts PNG. A JPEG-only form requires an actual format conversion; changing the filename extension is not enough.
• Transparent portrait: keep this for a designer or template that explicitly accepts transparency. Check it against the final background before sharing; transparent areas may display as black or white in another application.
• 4 x 6 sheet: use this to print several copies on matching photo paper. Do not upload the entire sheet into a field that expects one child's face.

A final check before sending the file

Open the downloaded file rather than relying only on the maker preview. Confirm it shows the intended child, stays sharp at normal viewing size and includes enough space around the face. After submitting, inspect the profile preview for unexpected rotation or a second automatic crop.

Keep the original camera image separately so you can make another size later. Use a simple filename that helps you identify the version, such as portrait-school-2026-09.png; avoid putting the child's full name, birth date or document number in the filename unless the receiving service asks for it.
